AITaskBox ("AITaskBox", "we", "us") is a business name of Orris Technology Pty Ltd, ABN 64 661 497 105, based in Sydney, New South Wales. We provide done-for-you marketing and admin work for small businesses, produced with AI and checked by people.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, who we share it with, and how you can access or correct it or make a complaint.
1. What we collect
| Kind | Examples | Where it comes from |
|---|---|---|
| Contact details | your name, business name, WeChat ID, X handle, email, phone | you, when you message us or we set up your account |
| Your business profile | what you sell, prices, service area, brand colours, tone of voice, things you never want said, past work | you, your messages and the files you send; we write it up and you can see it in your private link |
| Materials you give us | photos, videos, logos, listing details, customer questions | you |
| Orders and work | quotes, briefs, samples, change requests, deliveries, the time our reviewers spend | created as we do the work |
| Service usage | what you ask for, the quotes you receive and accept, how long you take to decide, changes you ask for, ratings | created as you use the service |
| Payment records | amount, date, status, the last four digits and brand of your card | our payment processor, Stripe. We never see or store your full card number. |
| Technical data | IP address, browser type, pages visited on our website and private links | your device, automatically |
Your materials may contain other people's personal information (for example, people appearing in your videos, or your customers' messages when we draft replies for you). You must have the right to give it to us; see our Terms of Service.
We do not ask for sensitive information (such as health or political information) and ask you not to send it. If it arrives in your materials, we use it only to do the work you asked for.
You can deal with us using a pseudonym for general questions, but we need your real business details to do paid work and to issue tax invoices.
2. Why we use it
- to understand what you want, write your brief, produce your samples and deliver the finished work;
- to keep your business profile so you do not have to repeat yourself on the next job;
- to take payments, issue tax invoices and handle refunds;
- to contact you about your jobs and answer your questions;
- to keep our service secure, fix problems and improve our quality checks;
- to create de-identified statistics and templates that improve our service and quotes (see below);
- to meet our legal obligations (for example tax records).
We use your materials and profile to do your own jobs. We also create de-identified information from what you ask for and the work we deliver, by removing names, contact details, street addresses and business names, and use it to understand demand, improve our service and quotes, and build reusable templates. De-identified information does not identify you, and we never show your work to other customers as yours. You agree to this when you sign up.
We do not sell your personal information. We do not use your materials to promote AITaskBox, or show them to other customers, unless you agree separately.
Marketing messages. We will only send you marketing messages with your consent, and every message will tell you how to opt out, as required by the Spam Act 2003 (Cth).
3. AI and the people who check the work
Parts of every job are produced with AI tools. To do that, the relevant parts of your brief, profile and materials are sent to AI model providers that process them on our behalf. We use providers whose terms do not allow them to use our customers' content to train their models, and we send only what a job needs.
People also work on your jobs: our staff and independent contractors (reviewers, editors and designers) who check every piece before it reaches you. They are bound by confidentiality obligations and see only what the job needs.
4. Who we share it with
We share personal information only with:
- service providers that run parts of our service: hosting and database, file storage, payments (Stripe), AI model providers, email and messaging tools;
- our reviewers and contractors, as described above;
- professional advisers (accountants, lawyers) where needed;
- authorities, where the law requires it.
5. Sending information overseas
Our main database and file storage are in Sydney, Australia. Some of our service providers store or process information overseas, including in the United States (AI model processing, payments, website hosting). Email sent to our support address is routed through Cloudflare's global network. Before we disclose personal information overseas we take reasonable steps to make sure the recipient handles it consistently with the APPs, mainly through the provider's contractual data-protection commitments.
6. How we keep it safe
We store information with providers that use encryption in transit and at rest. Access to customer data is limited to people who need it for a job. Your private link is a long random code; we store only a scrambled (hashed) version of it, and we can cancel a link at any time. If you think your link has been shared by mistake, tell us and we will issue a new one.
If a data breach is likely to cause you serious harm, we will tell you and, where required, the Office of the Australian Information Commissioner (OAIC).
7. How long we keep it
We keep your business profile and job history while you are a customer, so the next job is quicker. If you ask us to close your account, we delete your profile and materials within 30 days, except records we must keep by law (for example, tax and payment records, which we keep for 5 years).
8. Access, correction and deletion
You can see most of your profile in your private link at any time. You can ask us to give you a copy of the personal information we hold about you, correct it, or delete it. Message us using the contact details below. We will respond within 30 days. We may need to confirm your identity first. If we refuse a request, we will tell you why and how to complain.
9. Cookies
Our website and private links use only the cookies needed to make them work (for example, remembering your language). We do not use advertising cookies. We do not use analytics or tracking tools.
10. Complaints
If you have a concern about how we handle your personal information, contact us first. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner: www.oaic.gov.au, phone 1300 363 992.
